Different dictators have different styles. Consequently, we offer you a variety of methods with which you can complete your dictation. We understand that you are often dictating your notes after having already put in a full day of work; we want to make dictating as easy for you as possible. We prepare transcripts from call-in telephone dictation, from voice files produced using digital recorders, and tape-based dictation. We can even transcribed video files!
We offer the same service whether you are a sole practitioner or a multi-site hospital system.
Call-in dictation is very popular amongst dictators. Simply put, from an ordinary telephone, the dictator phones into our dictation system and dictates. Each dictator is given a unique password, which ensures the confidentiality of the patient record. We have recently updated our system to ensure there is always an available line and that the sound quality is optimized.
Some of the advantages of this method of dictation include that there is no specialized equipment to use, the dictation is archived permanently, and that it is easy to track patient records. There is the disadvantage that because a telephone is needed the dictator does not have the mobility that he does when using the other dictation methods.
Digital recorders are one of the newest dictation technologies and in our opinion is one of the best ways to dictate. Simply, the dictator dictates into a hand-held digital recorder, which looks almost identical to a microcassette recorder. Instead of recording onto a tape, the dictator records onto a small memory card, smaller than the size of a quarter. When the dictator is finished, he transfers the dictation from the card to a personal computer. Once the dictation is on the computer, it can be uploaded to MTA’s server (or e-mailed) for immediate transcription. This uploading procedure is automated and generally takes less than a minute. The best features of this method of dictating is that the dictator always retains a copy of the voice file, the recorder is portable and user-friendly, and that the files can be transcribed immediately, thereby optimizing turnaround time.
Some dictators have an in-house system that they are already using. We generally are quite successful in gaining access to these systems. We will evaluate your system for compatibility at no charge.
Yes, we still transcribe tapes – both microcassette and full-sized tapes. If you are within our delivery area, our courier will pick up your tapes at your location daily. If your practice is located outside of our delivery area, you can still dictate on tapes. A trusty third-party carrier will pick up and deliver your work.
Some of the advantages of preparing your dictation on a tape include that recorders are portable (you can dictate on the run!) and there is little to no learning curve in learning to dictate with this method. Some of the disadvantages include that turnaround time is extended slightly because the tape has to be picked up.
